DO NOT and WILL NEVER outsource your voice files or any work
outside of the United States. All of your work is done here in
the United States and only here in the United States! |

Digital
Technology: Digital
Technology affords you greater flexibility in your dictations. You dictate wherever you choose
and whenever you choose, and then simply
upload your dictations to us via your computer - - upload when it is convenient
for your staff. No more annoying, unreliable cassettes to
contend with, erase, or replace when they wear down! Digital Technology is
near-flawless in it's sound quality, ease of use, and most importantly, in
the
ease of sending us your work. There is no
cassette in a digital unit. Your unit will hold approximately 400
standard size report dictations; up to approximately 30 hours of straight
dictations. We obtain and pre-program your unit for you; all you need to
do is dictate! Your unit is delivered to you and contains a
simple install disc with our accompanying easy to understand instructions to
upload your work to NJ Transcription. We will gladly walk your office staff
through the installation if need be, at no extra cost! |
 | Upload
To Our "Secure Server": We
at NJ Transcription constantly and consistently maintain our own "Secure
Upload Site" for your voice file uploads and your document(s)
return. We provide you with your username and password, and only
you and we (NJ Transcription) have this information. Each dictating doctor/account is
provided with a separate location for their reports. Your reports ARE
NOT jumbled in with another client's reports, and your voice files are
securely placed off of the general 'internet' for strict HIPAA compliance. We
are very pleased to provide our clients with HIPAA-compliant secure upload and HIPAA-
compliant return of reports via our secure webserver, as not all
services provide this to you. Our web hosting service maintains our
website daily as "hacker-safe" through our shared SSL
certification with them, and this is a never-ending agreement with our web
hosting service. Rest assured, all of your work is
HIPAA-compliant when you utilize our transcription service. |

Quality:
We take pride that we provide you
with clean, accurate documents within an exceptional turn-around-time,
doing so for what we feel is a very reasonable page rate rather than an
expensive line or character rate. Our name, as well as yours, goes on the reports
and we always strive to uphold professionalism in your document and our work
at all
times. |
 | Confidentiality:
We, as a matter of course,
comply with HIPAA and all attendant patient and/or provider
confidentiality responsibilities in maintaining strict confidentiality of
your sensitive patient information. Rest assured, we do not
retain your voice files after we transcribe and return your documents.
We transcribe your documents and then destroy your audio report. We
then return your completed reports in a confidential, secure environment,
thus assuring patient confidentiality.
Every NJ Transcription Transcriptionist is required to sign a Confidentiality
Agreement with us, so you know your work performed by NJ Transcription is bound and covered against any improper
disclosure. |

Proper Report
Format: Your reports are
prepared in strict accordance with AAMT (American Association of Medical
Transcription) Guidelines, and are formatted to comply with all
report requirements, i.e., State and/or Federal Government reporting
requirements as to headings and information contained therein, and/or
formatted to comply with insurance company IME, DDS, or SSI Consultation Report
requirements, or as required by your specific medical specialty or adjunct
procedures performed. Additionally, we don't "pad" our reports or
add unnecessary lines or spaces, nor increase the margins or fonts, to
make your report cost you more - that is truly unnecessary and unethical by
our standards. |
 | Report
Availability: Your reports
are returned to your office as completed Word documents (retrieved by your
staff from our
secure server website) which you may print
out in your office on an as needed/when needed basis, at your
convenience. You will save that completed report on your system or
print out an additional hard copy for your patient's file should you so
desire, although we do offer a CD archive of your reports on a year-end basis.
Now, there is no need for you
to pay for additional carbon copies or file copies, or stat retrieval of old
reports, as your reports are retained on your system after we
transcribe them and return them to you via our secure server.. Again,
should you so desire, we can
archive your reports daily to create an archive, but that is a charged-for
(additional minimal fee) service, and we make this clear at the outset. |
 | Detailed
Invoicing: Your weekly or
bimonthly invoice is always a detailed invoice
showing the date of service to your patient, date of your digital upload, date
transcribed, patient name, page count, and the date your reports were
returned to you. This is a very helpful log for your office staff to
use when posting to your books and/or to locate one of your reports for a
STAT request. There is no reason for you to wonder if you are
being billed for the correct amount of lines dictated. We bill you by the page
(a page, is a page, is a page) - - It is that simple (for all
concerned - both for you and us)! If you are currently working
under a line or character rate with your present service, we too can provide
a line or character rate, although we would much prefer to give you a
competitive page rate which will save you money and needless headaches with
your accountant. Regardless of your requested billing method, we
continue to offer you an excellent document with a surprisingly short
TAT. |
 | Confidentiality-Bound,
Qualified Transcriptionists: We
do not agree with outsourcing of confidential patient information outside of
the United States. We
at NJ Transcription know there are many qualified transcriptionists here (and we have trained quite a few of them).
We firmly
believe that your work should be transcribed here where your medical practice
is located. Additionally, many American colloquialisms and/or
"Doctor-specific phraseologies" are easily misunderstood by
outsourced non-US Transcriptionists and thus, your report may not
accurately reflect what you are saying when transcribed by an outsourced
(non-NJ Transcription) Transcriptionist. Many services located here in the US
routinely send your work overseas to be transcribed. We only employ experienced
US Transcriptionists and thoroughly train
your transcriptionist in proper format,
terminology, spellings, AAMT Guidelines and your specific report requirements,
ensuring proper grammar
and usage, etc. We routinely screen and QA your work before it is returned to you.
Every NJ Transcription Transcriptionist must sign a Confidentiality Agreement with
us, so you know your work is bound and covered against any
disclosure. Additionally, as you know, MTs by law are not allowed to 'guess'
as to what a dictator has dictated and so we never allow 'guessing' on your
reports. Your returned reports are accurate and
confidentiality bound. |
